1. These Terms and Conditions govern the operation of the online store available at prenatalni.pl (hereinafter: the “Store”), and in particular the terms of sale of admission tickets to the International Gynaecology and Obstetrics Conference to be held on 25–26 September 2026 at the AirPort Hotel in Warsaw, as well as the available additional services.

3. These Terms and Conditions are made available free of charge on the Store’s website in a format that allows them to be downloaded, saved, and printed.
4. Use of the Store requires a device with Internet access and a web browser that supports cookies and JavaScript.
5. The Store’s customers may only be natural persons with full legal capacity, legal entities, and organisational units without legal personality.
1. The subject matter of sales conducted through the Store are admission tickets to the International Gynaecology and Obstetrics Conference (hereinafter: the “Conference”), organised by the Seller.
2. Conference details:
- Date: 25–26 September 2026
- Venue: AirPort Hotel, Warsaw
3.The following types of tickets are available in the Store:
- Ticket for specialist physician – price: PLN 1,600.00 gross;
- Ticket for resident physician – price: PLN 1,200.00 gross.
4. In addition, the Customer may purchase the following additional services:
- Workshop participation – additional fee: PLN 700.00 gross (may only be purchased together with an admission ticket);
- Dinner participation – additional fee: PLN 400.00 gross (may only be purchased together with an admission ticket).
5. All displayed prices are gross prices and include VAT at the applicable rate.
6. The Seller reserves the right to change ticket and additional service prices, provided that any price change shall not apply to orders already placed and paid for.
1. Ticket sales are conducted from the date the Store is launched until 23 September 2026 (hereinafter: the “Sales Period”), but no longer than until tickets are sold out.
2. The Seller may end sales before the date specified in paragraph 1 if available tickets are sold out. A notice of ticket sell-out will be posted on the Store’s website.
3. The Seller reserves the right to extend or shorten the Sales Period for valid organisational reasons, of which it will immediately notify on the Store’s website.
4. Orders placed after the end of the Sales Period will not be fulfilled, and any payments made will be promptly refunded.
1. To place an order, the Customer is required to:
- select the type of ticket (specialist physician or resident physician);
- provide the data necessary to fulfil the order and issue a sales document (first and last name, professional title, email address, contact phone number, and – in the case of payment by invoice – billing details);
- read and accept these Terms and Conditions;
- place the order by clicking the “Order and Pay” button or a button of equivalent meaning.
2. Placing an order constitutes an offer to conclude a sales agreement submitted to the Seller by the Customer.
3. The Seller will send an order confirmation to the Customer’s email address. The sales agreement is concluded at the moment the confirmation is sent.
4. In the event the order cannot be fulfilled (e.g., tickets have sold out after the order was placed), the Seller will notify the Customer and refund all payments made within 14 days.
6. The Customer is required to provide accurate and up-to-date information. The Seller reserves the right to verify the accuracy of the data provided.
1.Payment for ordered tickets and additional services is processed exclusively via an online payment gateway.
2.Available payment methods include options provided by the payment gateway operator, in particular:
- online bank transfer;
- fast electronic payments;
- debit or credit card.
3. Payment should be made immediately after placing the order. If payment is not received within 7 days of placing the order, the Seller reserves the right to cancel it.
4.A transaction is deemed paid upon the Seller’s bank account being credited or upon receipt of payment confirmation from the payment gateway operator.
5. Payment processing fees are borne by the Customer in the amount specified in the payment gateway operator’s tariff, or are free of charge if the terms of the given payment method so provide.
6. The Seller will issue a VAT invoice upon the Customer’s request and in accordance with the billing details provided. A request for an invoice must be submitted no later than at the time of placing the order.
1.Following successful payment, the Seller will send the Customer a Conference registration confirmation (hereinafter: the “Ticket”) to the email address provided, no later than 3 business days from the date the payment is recorded.
2. A Ticket may be transferred to another person with the prior written consent of the Seller.
3. Loss of a Ticket should be reported to the Seller immediately at kontakt@prenatalni.pl. The Seller may reissue a ticket after verifying the Customer’s identity.
1. In the event the Conference is cancelled for reasons attributable to the Organiser, the Customer shall be entitled to: a full refund of all amounts paid for tickets and additional services, or transfer of the ticket to the next edition of the Conference – if one is planned.
2.In the event of a change of date or venue of the Conference, the Customer will be notified by email. The Customer will be entitled to withdraw from participation and receive a refund within 14 days of receiving notification of the change.
3. The Seller shall not be liable for cancellation of the Conference due to force majeure (external, unforeseeable events that cannot be prevented), including in particular epidemics, strikes, or decisions of public authorities. In such cases, the Seller will endeavour to propose an alternative date.
1. The Customer has the right to submit a complaint in connection with non-performance or improper performance of the service by the Seller.
2. Complaints should be sent to the following email address: kontakt@prenatalni.pl or by post to the Seller’s registered address: Sonrisa Clinic Sp. z o.o., ul. Złotno 24A, 94-221 Łódź.
3. A complaint should include:
- the Customer’s first and last name;
- the order number;
- a description of the reported issue.
4. The Seller will process the complaint within 14 days of receipt and will notify the Customer of the outcome by email or in writing.
5. Failure to respond within the above time limit shall not be deemed acceptance of the complaint.
1. The controller of the personal data of Store Customers is Sonrisa Clinic Sp. z o.o., with its registered office in Łódź, ul. Złotno 24A, 94-221 Łódź, entered in the Register of Entrepreneurs of the National Court Register maintained by the District Court for Łódź-Śródmieście in Łódź, 20th Commercial Division of the KRS, under KRS number: 0001201869, email: kontakt@prenatalni.pl.
2. Customers’ personal data is processed for the purpose of concluding and performing the agreement.
3. The legal basis for processing is Art. 6(1)(b) of Regulation (EU) 2016/679 (GDPR) – necessity for the performance of a contract; and Art. 6(1)(c) – legal obligation.
4. Customers’ personal data may be disclosed only to entities authorised to receive it under applicable law, including those entitled to obtain public information, persons who demonstrate a legitimate legal interest, as well as data recipients within the meaning of data protection regulations, including IT service providers, hosting providers, and legal service providers.
5. Customers’ personal data will be processed for the period necessary to perform the contract of participation in the Conference, and after its performance for the period necessary for the establishment, pursuit, or defence of any potential claims.
6. Customers have the right to access their data, rectify it, have it erased, restrict its processing, transfer it, and object to its processing, subject to whether the conditions imposing such an obligation on the Seller are met.
7. Some tool providers (e.g., Google, Meta/Facebook) may process data outside the EEA. In such cases, the transfer takes place on the basis of standard contractual clauses approved by the European Commission (Art. 46(2)(c) GDPR) or other mechanisms ensuring an adequate level of data protection. Details are available in the privacy policies of the respective providers.
8. Customers have the right to lodge a complaint with the supervisory authority, i.e., the President of the Personal Data Protection Office, if the Customer’s personal data is processed in breach of legal requirements.
1. Matters not governed by these Terms and Conditions shall be subject to Polish law, in particular the Civil Code, the Consumer Rights Act, the GDPR, and the Act on the Provision of Electronic Services.
2. Any disputes arising from or related to these Terms and Conditions or sales agreements concluded through the Store shall be resolved amicably by the parties. In the absence of an amicable resolution, the competent court shall be the court of general jurisdiction having territorial competence over the Seller’s registered office, unless otherwise provided by mandatory provisions of law (in particular those protecting the Consumer).
3. Consumers may use out-of-court complaint resolution and redress procedures, including the ODR (Online Dispute Resolution) platform available at: http://ec.europa.eu/consumers/odr.
4. The Seller reserves the right to amend these Terms and Conditions. Amendments take effect on the date the updated version is published on the Store’s website and shall not affect the rights of Customers arising from orders placed before the date of the amendment.
5. These Terms and Conditions enter into force on the date of their publication on the prenatalni.pl website.
